Organisation billing
Organisation billing is a flat agreed price, monthly or yearly, set when the organisation is created. It is not a per-seat subscription that recalculates as people come and go.
Paying
/org-admin → Billing. The current bill, the period it covers and a card form are on the page — payment happens there, without leaving for a hosted checkout.
Payment confirms in a few seconds and the period is extended immediately.
We never see or store card details. Payment is processed by Stripe.
Bank transfer
Where an organisation pays by invoice and bank transfer, tell us and we will record the payment against the organisation once it clears. The portal then shows the extended period as normal.
This is the usual route for NHS trusts and anyone whose finance department does not do card payments.
What happens if a bill is missed
| State | What members see |
|---|---|
| Active | Premium, normally |
| Grace — 7 days after the period ends | Premium continues. Nobody is cut off the day an invoice is late. |
| Suspended — grace expired | Premium ends; accounts revert to free |
Paying at any point during grace restores everything, with nothing lost and nothing to re-set-up.
Even after suspension, nothing is deleted. Members' accounts, settings, custom options and templates are all intact, and paying restores their Premium.
The portal shows exactly which state the organisation is in and by when.
Payment history
Every payment against the organisation, with dates and the period each covered, in the Billing section — including payments we recorded on your behalf for a bank transfer.
Changing the price or the seat count
Both are a conversation with us rather than a control in the portal, because both change the agreement. Email hello@swyftscale.com.
Converting from a demo
A demo already carries its quoted price. Converting is simply paying the first bill in the portal — there is no second setup conversation and nothing to migrate.
Members and billing
Members never see billing and never pay anything. Their Premium follows the organisation's state automatically: it appears when the bill is paid and ends when it is not.
