Joining an organisation
There are two kinds of invitation, and from where you stand they look almost identical.
Personal invitations
Issued to you specifically, at your email address. Valid for 7 days and usable once.
You can be given one three ways — a link, an eight-character code you can type, or a QR code. All three are the same invitation, so use whichever is in front of you.
Only the invited address can accept a personal invitation. If the link reaches you at a different address, or someone forwards it, accepting will fail. This is the check, not a bug — a seat granted to whoever opened a forwarded email would be the wrong person.
If you need it at a different address, ask your manager to reissue it.
Join codes
Issued to the whole organisation — one code anyone eligible can use, shared on a slide, a poster, an intranet page or a QR code.
Your manager sets how long a code lasts and, optionally, a maximum number of uses. Codes can be revoked at any time.
Using either
Both land on the same page, showing your organisation's logo and colours:
- The organisation — confirm it is the one you expect.
- Your account — sign in, or create one.
- Join — accept explicitly.
The final step is a deliberate action rather than something that happens the moment you land, so an accidentally forwarded link does not silently consume a seat.
You do not have to guess which kind of code you were given. Both are entered in the same box, and MedJot works out which it is.
If you cannot open the link
The page also takes a manually typed code, so a link mangled by a mail scanner is not the end of it.
The masked email address
Where a personal invitation is involved, the page shows a masked version of the invited address — enough to tell you which inbox to sign in with, without printing a full address to anyone the link was forwarded to.
Joining from an existing account
Already have a MedJot account? Account → Join an organisation, and enter the code.
Your account, settings, custom options and templates all carry over. Nothing is reset by joining.
After joining
- Premium appears — for as long as the organisation's bill is paid.
- Your organisation's branding appears in the sidebar. See Branding.
- Your support tickets are expedited, automatically.
- Your reports stay yours and stay on your device. Nobody at your organisation can see them.
Leaving
Ask your manager to remove you, or raise a support ticket.
Removal ends the Premium that came from the seat. Nothing else changes — your account, reports, templates, settings and custom options are all untouched, and you can carry on as a free user or subscribe individually.

Accepting a manager invitation lands you on the organisation portal rather than the clinical app, since that is what you were invited to run. See Managing an organisation.
