Managing an organisation
Managers work at medjot.app/org-admin, a portal separate from the clinical app. Sign in with the account that was invited as a manager.
If you also use MedJot clinically, that is the same account — the portal is a different door, not a different login.
Members
The members list shows everyone holding a seat, their role, and when they joined.
You can:
- Change a role between staff and manager
- Remove a member, freeing their seat
- Add a member by email where they already have a MedJot account
Removing someone ends the Premium that came from their seat and nothing else. Their account, reports and settings are untouched. Nothing of theirs was ever visible to you.
You cannot see members' clinical work, and neither can we. Reports never leave the device they were written on. An organisation is a licensing relationship — the portal shows you seats and billing, not patients.
Two ways to bring people in
Personal invitations
One person, one address, 7 days, single use. Delivered as a link, a typeable code, or a QR — all the same invitation.
Only the invited address can accept. Use this where seats are allocated to named people.
You can invite someone as a manager or as staff. Choose the role when you create the invitation.
Join codes
One code for the whole organisation. Set its lifespan and, optionally, a maximum number of uses. Revoke at any time. Shareable as a QR code.
Use this for onboarding a cohort — a training day, a new intake, a station briefing — where issuing individual invitations would be a job in itself.
A join code is usable by anyone who has it. Set a use cap and an end date matched to the group you are onboarding, and revoke it when they are in. A code on an intranet page nobody remembers is a seat leak.

Both kinds share one code space, so a member entering a code never has to know which kind they were given.
Roles
Staff — a seat. MedJot with Premium, nothing else.
Manager — a seat, plus the portal: members, invitations, codes, branding, billing.
Have more than one manager. An organisation whose only manager leaves is one where the bill cannot be paid, and sorting that out means talking to us.

Support
Tickets from members of a paid-up organisation are automatically expedited. Neither you nor they need to do anything to claim it.
